For developers and site administrators, the Digital Asset Inventory Module functions as a governance module with robust auditing features including removal and document archive functionality.

If you manage content or oversee a department website, this new module is your primary tool for organization and legal safety.

  • Find Every File: The system automatically scans your site to show you exactly where every PDF, image, or document is being used.
  • Cleanup Simplified: It identifies "orphaned" files (files uploaded but not linked anywhere) so you can delete them and save storage space.
  • Accessibility Compliance: To meet ADA Title II standards, the system allows you to "archive" old documents. A file is only considered "archived" when it has been intentionally archived, placed in the Archive Registry, and removed from all active use. A document from 2015 that is still linked from a current onboarding, policy, or instructional page is active content. Active content must meet WCAG 2.1 AA accessibility requirements. Age alone does not qualify a file as archived.
  • Automatic Tracking: If you edit an archived file, the system automatically notices and resets its status to ensure you stay within legal guidelines.
  • Dual-Archive Functionality: Legacy Archives (ADA Title II) and General Archives (Content archived after April 24, 2026 is classified as a General Archive)
